Job Description

My Client is based in the Cowley area of Oxford, They are the automotive manufacturer of one of the iconic British cars in all it's modern guises. This role is for a fixed term period of 12 months to organise and assist one of the managers, so you will need to be personable, organised and experienced in managing the manager.

Vacancy Description:

The role will include:

Organising the manager's diary, deciding which order of appointments suits best, which appointments to skip or to attend (up to a certain extend).

Working with various software ranging from MS-Office products to more company specific programs such as SAP and administrative support across the departments first line, providing over-all conference service (room/catering booking/presentation equipment/minute taking) .

Communicate within the company as well as external (national/international) up to board level.

Handling of confidential information (internal/external) up to board level.

Other tasks will include:

-Providing support to the manager and his first line team.

-Dealing with mail and e-mail (including responding).

-Post distribution.

-Ordering and maintaining stationery.

-Time recording.

-Maintaining and signing off of purchase requisitions

-Receiving and dealing with telephone enquiries (internal and external) including follow-up.

-Arranging travel, accommodation and itinerates, liaising closely with first line (preparing as well as follow-up meetings), keeping up to date with headcount.

Qualifications and Experience

Experience as a PA essential

Experience as a team assistant helpful.

Knowledge of written and spoken German language is essential

Good communications skills both verbal and written.

Excellent telephone manner.

Requires calm and serious outlook.

Ability to cope in a crisis situation.
