Client Support Administrator

To provide a professional level of administrative support to the team of Advisers.
Under supervision from the Office Manager Take responsibility for office administration, set up basic office procedures, communicating same to colleagues and make sure that the administrative side of the business is compliant with FCA Regulations, and runs smoothly.
To process new business for clients, ensuring that any relevant compliance checks are made at relevant times and flag up any issues of concern to the Adviser as soon as practicable.
Key Result Areas
" Open and distribute the post (stamp dating if necessary) and scanning it on the database on a daily basis.
" Take delivery of courier and Royal Mail parcels as they arrive, and distribute accordingly.
" Ensure that supplies of blank forms required by Advisers are kept well stocked and up to date, and re-order any items as necessary.
" Filing on a regular basis for Advisors or the MD or where necessary
" Answering the phone and taking messages
" Answering the door and greeting any visitors to the building, making sure that all visitors comply with our H and S guidelines (signing in procedure)
" Stamp and be responsible for the Royal Mail post and any courier items at the end of the day (this may be hand to the Postman who calls to collect Royal Mail, courier companies, or take the post to the nearest Post Office)
" Prepare paperwork for new client meetings, ensuring that all deadlines set are met.
Main Duties
" Keeping the company database up to date, ensuring that all tasks on the system are reviewed daily (and allocated to the relevant colleagues if necessary).
" Preparing valuations for client meetings from the database and providers.
" Sending letters of authorities to providers, chasing the information and then collating for the Adviser.
" To assist, and guide as necessary the Managing Director with social media communication ie FaceBook, LinkedIn and Twitter.
" To ensure the company website is accurate and up to date.
" Communicate with colleagues on compliance matters as they arise, and highlighting any areas of specific interest.
The successful candidate will be employed full time and work 40hours per week, Monday to Friday in the Support Team based in Kettering, Northamptonshire.
