Job Description

A large†transactional, regulatory and litigation services company based in the City is looking for a temporary Offices Service Assistant. The successful candidate would be working shift hours: 9.30-5.30pm Monday to Friday.

Overall aim of the role:

- To provide flexible and responsive assistance to clients and colleagues
- To process queries and complaints effectively seeking referral where appropriate
- To put the customer / client first and foremost

Key responsibilities [General]

- To meet and wherever possible to exceed targets set on an individual and team basis
- To undertake any reasonable duties as requested by Supervisor or Manager

Key accountabilities:
Post duties as required including

- Collecting work from loading bay / building post room as instructed
- Sorting and opening of incoming post
- Distribution and collection of post to/from the floor mail points on regular mail rounds
- Good PC skills. Online booking of couriers
- Use of the franking machine to dispatch mail
- Excellent customer service skills
- Ordering of stationery
- Helping to maintain the general tidiness of the office and taking responsibility in particular for the neatness and cleanliness of the Printers and MFD's, ensuring that paper left on table tops and photocopiers is securely disposed of and boxes and stationery items are neatly secured and stowed away
- Inputting of post and courier charges into client billing system

Reprographics duties to include

- To use the light production MFD's within the reprographics department
- Be able to copy, scan, print to highest quality
- Finishing is mainly wiro and coil bound documents
- Very good PC skills.
- CD / DVD burning
- Contacting iXerox and Danwood engineers and following up as required when equipment requires maintenance
- Performing all quality checks as in procedures and accepting constructive feedback form clients and supervisors / manager.

Ad hoc duties to include

- As well as these activities, additional tasks may be requested as required by management.
- Archiving
- Replenishment of stationery


- Establish and maintain excellent client relationships at all levels
- Meet and exceed, where possible contractual SLA's
- Effective follow-up of all client related concerns and queries


- Take part in annual and interim review process
- Promptly report any absence
- Be familiar with and exercise company policies and procedures
- Attend team meetings
- Undertake training as required
- Support team as required


- Assist the Team Leader in delivering critical projects
- Be able to follow instructions and procedures laid out by supervisor / manager.
- Be proactive in recommending methods to improve workflow and customer experience
- Observe Health & Safety directions for site
- To implement all action points arising team meetings
- To manage workflow from job submission through to delivery
- To relay accurate information to users on the progression of their work. When deadlines cannot be met escalate to Team Leader and ensure user is informed within sufficient time. Offer alternative solutions when necessary
- Facilitate the process of moving work to off-site production facilities where this is required due to specification or volume

- Good time management skills, with a focus on maintaining regular service, support and supply
- Maintaining a helpful, enthusiastic approach to the job, even though some aspects of it will be labour intensive and repetitive

- Expressing and displaying a willingness to learn; to support the Team Leader and in time, learn sufficiently to act as a backup to the Team Leader in times of absence
