We are currently recruiting for a temporary Academic Support Administrator to work within a Higher Education organisation
The post holder will work as part of a team of administrators providing a comprehensive, professional and proactive administrative support service to the School Hub and senior academic staff within Departments. This will involve organising, servicing and monitoring the action points emerging from meetings.
For the allocated Department/Subject Group(s), provide a professional point of contact for all enquiries and take full responsibility for answering and resolving questions and queries.
Manage the diaries for a defined group of senior colleagues and take proactive steps in planning and organising demanding itineraries. As part of this, the post holder will provide a brief of each diary appointment, ensuring all papers, reports, agendas etc are available in advance of the meeting. As part of this, the role holder may be called upon to arrange travel and accommodation.
Arrange and service meetings, including booking an appropriate venue, drafting agendas, and producing accurate and informative minutes. As part of this, the role holder will take a proactive approach to ensure that action points are progressed with the relevant member of staff and future meetings appropriately briefed
Maintain effective administrative systems to ensure the smooth running of the activities within their area(s) of responsibility and liaise with the Team Leader and/or the School Hub Manager on developing new practices to obtain greater operational efficiencies.
Oversee the administration of all relevant HR-related processes for the staff within the designated area(s) of responsibility. As part of this, the role holder will be in regular contact with the School’s Facilities Manager, School Hub Manager, Operations Manager and other colleagues from the School and College Hub
Ensure that effective communication systems are in place within the designated area(s) of responsibility and provide pro-active support where necessary to improve the flow of information within and between areas. As part of this, the role holder will need to develop an overview and understanding of School functions outside of their primary area(s) of responsibility.
Accurately maintain confidential and sensitive electronic and paper-based records and information to support the staff within the designated area(s) of responsibility. As part of this, the role holder may be called upon to assist in responding to FOI and subject access requests
Collate and present information from within and outside of the University in an accessible and professional format for analysis and/or distribution to a diverse audience. This will include liaising with colleagues from across the School and College to obtain sensitive and/or confidential information that will be used by senior staff in the execution of their duties (eg, financial data, budget expenditure, student recruitment data etc)
Manage external events that are being hosted by the Department/Subject Group (eg conferences, workshops, external lectures, seminars etc) and support the business systems relating to payments, catering, refreshments, cleaning, security and post-event evaluation feedback on behalf of the event organiser.
In collaboration with relevant colleagues, organise appropriate publicity material for the
Department/Subject Group, ensuring forthcoming events are advertised on the School’s plasma screens and the relevant areas of the School’s web-pages.
