We are delighted to be assisting our client, a very reputable professional services firm in Central Bristol with their vacancy for a PA/ Secretary.
The role will involve providing fee earners with proactive and high quality secretarial support that appropriately meets their requirements, enabling them to focus on providing legal services to clients and reducing the need for them to undertake administrative tasks.
You will be working Monday - Friday, Full Time hours, receive a competitive salary & a generous benefits package.
The Key duties of the role include:
-Proactively manage and maintain fee earners' diaries, making appointments and coordinating internal and external client meetings, meetings with legal directories etc. and ensure all work activities are scheduled effectively, including the identification and resolution of potential challenges and clashes.
-Demonstrate an understanding of the end-to-end billing process and AX (Financial system); assisting fee earners by leading on relevant administrative processes, to ensure that bills are completed within required timeframe.
-Supporting fee earners, Secretarial Co-ordinator or Group Head on time recording (Rekoop), including exception monitoring and reporting as required, supporting fee earners with maintenance of InterAction.
-Preparation of agendas, presentations and meeting papers, including print production and timely distribution and chasing papers for meetings and ensuring that Lawyers have papers and adequate preparation time.
-Formatting of bids, pitches and capability statements for clients typically in Word or PowerPoint.
-Presentations for client training, seminars and conferences; sourcing of fee-earner CVs and coordinating the update of the CV for the specific event, then submission to BD contact or event organiser ahead of required deadline and formatting PowerPoint presentations to meet firm guidelines.
-Day-to-day administrative tasks
To be successful for the role of Pa/ Secretary you will need to have:
-Ideally previous experience working as a PA within a professional services environment - preferably legal
-A client service orientated approach, a proven understanding of team work
-Advanced communication skills at all levels, problem solving skills
-Self management and excellent organisational skills with ability to prioritise work calmly
-Ability to work effectively as part of a diverse and inclusive team
