Our client, a highly respected Higher Education establishment based in Glasgow, require an Operational Support Assistant on a temporary basis. The salary for the position is £8.75/hour, working 35 hours per week Monday to Friday.Main purpose of role:To provide a comprehensive operational support service within the department, ensuring the provision of a high standard of service at all times through the delivery of a proactive, efficient and flexible range of operational activities.Accountabilities/Responsibilities:

  • Contribute to the resolution of day-to-day operational issues and respond to general operational enquiries on behalf of College Administration and School colleagues
  • Contribute to a culture of continuous improvement, supporting the implementation of process improvements by adopting and advocating standard operating procedures and work systems within the broader Operational support team
  • To balance the quality, quantity and priority of own workload on a daily and weekly basis.
  • In conjunction with the Operations Administer, align priorities and objectives to ensure that the needs of all customers are met in full, on time and to specification
  • Provide support for procurement and purchasing activity (e.g. for stationery supplies, travel bookings, hotel accommodation, etc.), ensuring that requisitions are processed timeously and subsequent purchase orders are tracked, received, and invoices processed promptly.
  • Resolve internal and external operational enquiries by email, telephone or face-to-face escalating issues to appropriate colleagues where required
  • Provide operational support for events, seminars and conferences, including booking catering, venues, hotel rooms and travel and assisting in the preparation and dissemination of publicity
  • Ensure the prompt processing of financial reimbursements such as visitor expenses, external examiner claims, student claims, and escalating issues/discrepancies to the Operations Administrator as appropriate
  • Administer maintenance requests for College Administration and School fabric, facilities and equipment liaising with Estates & Buildings and IT Services.
  • Contribution to the management of room moves and refurbishments, including liaison with Estates & Buildings and external contractors
  • Organisation of maintenance visits for College Administration and School buildings and equipment, following up as necessary; this will involve visiting each of the buildings on a regular basis.
  • Responsible for the co-ordination and management of fire alarm checks and fire evacuation exercises
  • Contribute to the delivery of an excellent level of operational support for staff and students across College Administration and School, supporting colleagues in the wider operational support team and undertake other duties as required by the Director of Professional Services and Head of School Administration
Key Skills and Requirements:
  • Educated to VQ 2/3, Standard Grades, (GCSEs), City & Guilds or equivalent
  • Typically 1 year's experience in a similar role with qualifications above or 2 years relevant experience without qualifications
  • Good knowledge of Microsoft Office applications, including Word, Excel and Outlook
  • A basic understanding of data protection and working with confidential information
  • Knowledge of University systems, e.g. SupportWorks, Agresso and CMIS would be advantageous
  • Accuracy and attention to detail
  • Good time management skills and ability to prioritise a busy workload.
  • Excellent administrative and secretarial skills
  • Effective and clear written and oral communication skills
  • Discretion and ability to maintain confidentiality
  • Ability to work independently, under supervision or as part of a team.
  • Ability to work to agreed deadlines in a time constrained environment.
