A fantastic opportunity has arisen for a Contracts Administrator at a large utility company in Castle Donnington, we are looking for employees to join our expanding team who show commitment and dedication to providing an excellent service to customers as well as being tenacious and methodical at all times.
Location: Castle Donnington - Travel to other sites will be required
Payrate: £13 - £15 p/h
Contract: 12 months
Hours: 37 per week
To provide Administrative Support to the Contracts Manager and the wider contracts team. Maintaining high levels of efficiency assisting the team in pursuing their business objectives through organising diary entries, team management meetings and managing communication channels.
Experience of computer literacy in the use and application of standard MS applications, in particular Excel, PowerPoint and Word and SharePoint
Excellent awareness of the organisation, business issues and activities are essential, along with experience of with liaising with senior members of staff, internally and externally.
Manage incoming phone calls, mail and correspondence. Provide a first line response for team communications and ensure that all requests, orders, invoices are progressed in a timely manner, complying with all procedural requirements and internal audit regulations
Manage all requests for purchase orders and ensure invoices are progressed in a timely manner, complying with all procedural requirements and internal audit regulations
Manage and co-ordinate the Contracts Management teams diaries and schedules and that the itinerary is always clearly communicated to all relevant parties
Support the implementation and maintenance of the Contract repository.
Organise various meetings, briefings, hotel bookings and events as required.
Support the collation of contractual communications and letters for external publication
Provide a minute taking and distribution service for key meetings as required, provide cover for the technical secretaries for the Contractor Programme Board meetings.
Maintain the key contacts database for all electricity transmission Contractors
Control access and maintenance support of the Contracts Team SharePoint site and the Contract Management Excellence SharePoint site.
Support and work with fellow members of the team to ensure that the movements and activities are co-ordinated and maximise their impact on business performance. Undertake various responsibilities and tasks to meet the needs of the team e.g. assignments, providing cover etc
Maintain information so that it is up to date and available at all times, including the maintenance of the Performance Excellence Leadership Hub for the Contracts Management team.
Ensure access to up to date information is available at all times and bringing any significant issues to the attention of the management team as appropriate
Ensure that internal and external perceptions of Capital Delivery/Partners are managed and protected within favourable boundaries wherever possible, maintaining confidentiality wherever appropriate
Process and progress change requests from Contractors and National Grid.
Produce, process and progress all necessary contractual instruction documentation, to include, but not limited to; PMI, APMI, Compensation Event, Early Warning Notices, and Risk Draw Down notices.
Support the annual reconciliation audit process where required
Ensure all data logs and systems for contract management records are accurately maintained at all times
Support the Contracts and Commercial team with my SAP Purchase Order requisitions.
Provide other administrative support to the Contracts and Commercial team
