Administrator I have a fantastic opportunity for an Administrator in Reading. This role is a temporary assignment for initially 3 months, Monday to Friday and full time 7.30 – 4.30 hours per day. Administrator - Job Purpose You will need to be a coordinator on a day to day basis and provide support to the management team as required. Responsible for the upkeep of the office building and providing maintenance services to the customer. Supporting the maintenance function by keeping up to date records of activities and liaise with contractors. Ensure subcontractors and suppliers activities are managed in accordance with specific contract terms and that they are fully briefed on the site procedures prior to the commencements of any work. Maintain and ensure all records are accurate, and held in an accessible system. Maintain and ensure all contractors folders are kept up to date with the relevant information and compliance information. Take responsibility for your own workload and where possible ensure that the target times for each tasks priority are met. Monitoring & processing sickness and annual leave records. Attend training to develop relevant knowledge and skills. Provide an efficient service to callers which require a good understanding of the property, contractors, service agreements and landlord's responsibilities. Maintain excellent customer communication to achieve their high expectations. Carry out other duties as may be reasonably requested from time to time by site management or client. To support and assist the Site Engineer and other team members, should it be necessary. To undertake all duties in a safe, tidy and responsible manner in accordance with H&S requirements. Comply with the Client's company rules and maintain a high standard of discipline. Comply with the site security requirements, H&S procedures and internal audit processes and policies. Manage Meeting Room Booking requests on CONDECO and ensure that set up requests are organised in a timely manner. Responsibility for Managing Car Parking, ensuring records are kept up to date and that the Three Policy and procedure is adhered to. The main lead H&S lead, responsible for updating of the Culture Board, ensuring that any H&S issues are dealt with promptly and appropriately. Respond to requests for locker allocation. Maintain locker spreadsheet. Carry out regular audits on lockers. You must be Smart, presentable appearance, Personable and approachable, Good interpersonal and customer relationship skills, Excellent written communication skills. Good IT skills having knowledge of MS Projects (word processing, spreadsheets and project management tools). Experience in Customer Service Delivery. Ability for problem solving and a passion for customer service. You must also be a great team player who is open and honest, questioning and capable of taking ownership and of using your initiative too.
