Exciting opportunity to work with a local authority supporting the Housing Team.

The Executive Assistant assists the Director's Office with comprehensive and efficient administrative support within the overall responsibilities of the team.

The jobs main responsibilities include

• To assist the Director's Office team in undertaking the role in terms of a comprehensive and efficient administrative support within the overall responsibilities of the team. Providing a support role on specific projects, and Divisional work including researching and obtaining information as required. This would include;
• Administrative support, as required, for the Housing and Regeneration Department, including providing support for all Divisional meetings
• Good quality word processing service including the preparation of Power-Point presentations and other documents as required
• Assisting in the control and supply of general equipment, and goods and services to the department, utilising the corporate purchase ordering system
• Screening telephone calls, dealing with customers sensitively and professionally
• Assisting in the recording and despatching of incoming post and taking action as required/requested
• To carryout divisional project work on request
• To be a ‘Team Player' and work effectively with people in different grades and levels to achieve goals

Executive Support
• To provide a high quality, efficient and effective support service as required. Ensuring all work is carried out with an understanding of; the political nuances and audience, is consistent in its delivery, whilst maintaining confidentiality. Therefore supporting Councillors and Senior Managers in ensuring the reputation of the Council is maintained and enhanced. This would include;
• General administrative duties
• Meeting and event organising
• Drafting correspondence
• Receiving and processing post
• Designing and maintaining spread-sheets
• Establishing good communication with outside agencies and good relations with managers and staff across the Council
• Proficient use of Excel/Word/PowerPoint , and all other Council IT systems (training will be provided for Council specific IT systems
