The Project Support Administrator is an ambitious, knowledgeable, detail-orientated administrator who has the skills and drive to support the core capabilities of the Programme Office; Planning, Reporting, RAID Management/Controls, Governance and Resourcing.

A self-starter, the PMO Administrator will work closely with all PMO Capability leads to develop additional controls, increase effectiveness of existing controls and providing general administration capabilities to ensure there is a clear line of sight across the function.
Working from spreadsheets and using in-house IT systems, the successful candidates will be identifying specific customers and property addresses. Once this information has been confirmed you will be attempting to make contact with the customer and/or writing to them. This challenging and dynamic position is a part of a new project within the Customer Services department.

Day to day duties and responsibilities may include;

- Provide day-to-day support to the PMO Manager (setting up of appointments; booking of meeting rooms, attend key programme meetings for Programme Management recording actions and circulating to each workstream lead as well as key stakeholders)

- Maintain the Programme Actions Log, ensuring actions are progressed, whilst proactively managing them to closure, or escalation.
- Support and assist the Governance Leads (scheduling of any regular governance meetings; organise meeting rooms; attend meetings to record notes and actions; produce meeting notes and actions for circulating; providing general administrative support.

- Support the planning updates cycles for overall programme tracking by assisting the Delivery and Planning Managers in driving through key planning outcomes to maintain the integrity of the overall programme plan.

- Assume the role of Configuration Librarian and central point of contact for the central repository (Documentum) for PMO documentation and key control documents.

- Assist with high quality reporting and presentations for PMO Team members.

- Assess and manage flow of documentation through the PMO office (spelling, grammar, layout, allocate numbers).

- Support the Resourcing & Facilities Lead in the co-ordination and follow-up of resource demand planning and acquisition.

- Manage the Programme mailbox ensuring general enquiries and requests are addressed/fulfilled.

- Coordinate and file the monthly working hours from the various Consultant Providers.

To be successful in this role you will be a self-starter, who can work under pressure to meet demanding deadlines. You will require minimal supervision and will work on your own initiative. Strong written communication skills (verbal and written) are essential, as is good literacy and numeracy skills. You will be competent in the use of standard office applications including Outlook, Word, Excel and PowerPoint and have the ability to work within a team and be an overall team player. You will have a good understanding of the importance of effective governance and change management on large programmes and be tenacious and adaptable.

This position will be based in Walnut Court, Kembrey Park, Swindon. Working hours are 9 - 5, Monday to Friday and we are offering from £10 - £14 per day. This is an assignment lasting at least 13 weeks.
