Monday - Friday 37.5 hours
6 month Fixed term contract - with potential extension

We are currently looking to recruit a Learning and Development Co-Ordinator to join our successful client in Central Bristol.
You will be providing administrative support, exceptional customer service and responding to enquiries to support a key Project and the Coaching and Mentoring Services.

You will be working as part of a small team responsible for the delivery of a joint project to set up a talent management initiative that supports aspiring finance directors.

Key responsibilities:

- Supporting and developing the Project
- Send out application forms and information to applicants to the talent pool, acknowledge completed application forms.
- Maintain records logging the progress of applications.
- Support the Regional Boards in the assessment of applications.
- Send out written communication to successful and unsuccessful applicants.
- Identify, contract with and manage the venues.
- Manage the systems for registration of candidates attending the Development Centre, including registration, joining instructions and candidate materials, including packs and badges.
- Contact speakers, assessors and Executive Coaches
- Co-ordinate speaker requirements and presentation deadlines.
- Manage all other administrative systems for the Development Centre, including event schedules, risk assessments, speaker checklists and venue checklists.
- Oversee all arrangements on the two day event to ensure smooth running.
- Carry out post event administration including summarising evaluation forms.
- Assist with the administration on the website including keeping content up to date.
- Send out application forms and information to potential mentees.
- Liaise with the membership team to enable potential mentees to become members
- Maintain records logging the progress of mentees.
- Work with the Coaching and Mentoring Services Manager to match mentors and mentees.
- Follow up matched mentors and mentees at 3 and 6 weeks to review progress.
- Maintain the database of mentors on Microsoft Dynamics.
- Request mentor profiles with the aim of increasing the number of completed profiles.
- Ensure marketing materials are included in event packs at relevant events.
- Work with the Coaching and Mentoring Services Manager to develop tools to encourage and support successful mentoring relationships
- Maintain the mentoring pages on the website
- Produce a bi-annual newsletter for mentors.
- Liaise with employers to ensure signed contracts are in place between the company and the client's employer before the first coaching meeting takes place.
- Work with the finance team to invoice for coaching contracts and expenses.
- Book meeting rooms for coaching meetings if required.
- Maintain SharePoint records logging the progress of coaching contracts.
- Contact client's using template email to gather qualitative and quantitative feedback after each coaching meeting.
- Contact Executive Coaches on a quarterly basis using a template email to gather information on the progress of coaching contracts.
- Ensure marketing materials are included in event packs at relevant events.

Abilities/Experience:

- Coaching/ mentoring, in a volunteer or employed role
- Supporting a talent management programme
- Proven track record as a fast and accurate administrator
- Excellent proven organisational abilities
- Working knowledge of word processing, database software and spreadsheets
- Good working knowledge of the internet and internet based applications e.g. LinkedIn, Twitter
- Experience of working with minimal supervision
- An interest in learning and development
- Able to communicate effectively at all levels, verbally and in writing
- Excellent telephone manner
- Ability to work in a small team and a fast paced environment
- Confident and positive outlook with a can-do attitude and a good sense of humour
- Works well with people and an excellent communicator
- Flexible and adaptable
- Creative and innovative
- Motivated, engaged and works on own initiative
