Contract Type: Temp to Perm

Our client in Cambridge is seeking a Legal Secretary to join its team. As a Legal Secretary you will provide secretarial/PA and administrative support to fee-earners. To assist other fee-earners as appropriate to enhance internal and external client focus.
Your duties and responsibilities will include:
" To provide excellent secretarial support to the fee-earners, assisting the fee-earners to ensure clients experience exceptional service
" To carry out any typing as required by the fee-earners in conjunction with his/her normal duties. Ensure that all letters and communications are completed accurately and on time. Assist fee-earners with post and communications as required
" To carry out any photocopying and deal with any faxes and emails required by the fee-earners
" To assist with fee-earners in the recording of emails to Peppermint and maintenance of Time Recording
" Support the fee-earners by providing an excellent client service within a timely manner, advising him/her on status of outstanding work and readjusting priorities accordingly
" To maintain each client file in a proper manner in accordance with the requirements of the firm's ISO standard and the Law Society. The secretary will be required to record and assist in the opening and closing of all files including the preparation of forms and paperwork necessary for the conduct of client files
" Maintain the filing system for the fee-earners and keep all necessary records for the conduct of the matters and files in accordance with the Disputes Team's audit benchmarks
" To arrange appointments for the fee-earners using Outlook. To liaise with the client on behalf of the fee-earners either directly or by telephone and deal with any queries relevant to the client, and this may involve taking instructions from the client on behalf of the fee-earners. To maintain an efficient diary system for the fee-earners using Outlook. To carry out the normal day to day secretarial duties as directed by the fee-earners
" To assist the fee earners in the maintenance of the Clients Account and liaise with the Accounts Department. This includes preparing any documents for cheques and banking and for the conduct of the clients account. To assist the fee-earners in managing the Client Ledge Account including the clearing and closing of accounts, and completing all internal paperwork as requested by the fee-earners or Accounts Department
" To prepare expenses claims on behalf of fee earners
" To promote the firm with all external clients
" To carry out any reasonable duties as may be directed by the Partners or the management of the firm
To be a successful Legal Secretary you will have the following skills and experience:
" Computer literate. Sound working knowledge of Microsoft office primarily Word, Outlook, Excel and PowerPoint (required for presentations)
" Fast and accurate audio typing
" Secretarial qualifications an advantage but not essential
" Highly developed interpersonal skills, used to working as a team player
" Sound working methodology
" Exceptional organisational ability with sound methodology, including planning and follow through on issues
" Excellent prioritisation and highly developed proactivity
" Personable, with ability to get on with other team players at Ashtons Legal
" Flexible approach, working for three fee-earners and other members of the team when necessary
" Excellent telephone manner with internal and external clients
" Excellent internal and external client focus
" Legal secretarial experience essential, particularly commercial disputes/litigation
" Ability to use a document management system (eg Peppermint) and willingness to learn
Special Duties: To be defined as appropriate
Hours: 35 hours a week, Monday to Friday (9:00 to 17:00)
