Personal Assistant / Office coordinator
Key Responsibilities
- Act as an initial point of contact for telephone and email enquiries, dealing with queries professionally and efficiently.
- Record relevant contact details, requirements and information accurately.
- Manage, book and confirm appointments, ensuring diaries are kept up to date.
- Attend meetings, take minutes and follow up on actions where necessary.
- Assist with the progression of sales and lettings, ensuring relevant tasks and enquiries are followed up promptly.
- Liaise with clients and other external contacts as appropriate, providing a professional and helpful service.
- Type and prepare formal letters, invoices, reports and other business documentation accurately.
- Maintain accurate records, contact details, documents and filing systems.
- Provide administrative support across the office to help ensure the business runs smoothly and efficiently.
- Manage office keys and ensure they are correctly recorded, distributed and returned as required.
- Receive and distribute incoming and outgoing post.
- Order stationery and office supplies, ensuring appropriate stock levels are maintained.
- Liaise with suppliers and external contacts as required.
- Assist with organising company meetings, appointments and events.
- Support with general office administration and ad-hoc tasks as required.
- Identify and resolve day-to-day administrative issues, using initiative to keep things moving.
- Handle confidential information with discretion and professionalism.
- Previous coordinator experience is essential.
- Previous experience in an administrative, PA, office coordination or executive support role.
- Strong administration and organisational skills, with excellent attention to detail.
- The ability to manage multiple priorities and work to deadlines.
- Strong IT skills, with confidence using Microsoft Office, particularly Outlook, Word and Excel.
- Accurate and efficient typing skills.
- Excellent written and verbal communication skills.
- A confident and professional telephone manner.
- The ability to communicate effectively with clients, colleagues and external contacts.
- A proactive approach, with the ability to work independently and use your own initiative.
- A positive, can-do attitude and willingness to get involved across the business.
- A background within the property industry would be advantageous, particularly experience of sales and lettings.
- Professionalism and discretion when dealing with confidential information.
- Salary of £28,000 - £30,000 depending on experience.
