Part-Time FINANCE ASSISTANT ( initially a 3 month contract )

A Leading Privately owned Property Company situated close to Liverpool Street Station is seeking an experienced Finance Team Assistant to provide finance and administration support to their Finance Director and team.

The main purpose of the Finance Team Assistant will be to provide proactive executive support to the Finance team and to support the Finance Director and Management Accountant in delivering a high quality, timely and professional service to the business by contributing to the effective management of the company's cash flow position and its statutory reporting obligations.

Duties include:
Process all supplier invoices ensuring that they are coded and allocated to the correct cost centres within the accounting system.
Prepare the weekly payment run and ensure that all payments including supplier invoices are paid in accordance with the invoice payment terms.
Raise sales invoices upon the instruction of the Management Accountant ensuring that they are accurate, allocated to the correct cost centres and despatched on a timely basis
Set up new supplier accounts in line with documented processes and maintain up to date supplier details on existing accounts within the accounting system.
Resolve any invoice queries
Reconcile all expenditure on corporate credit cards against the monthly statements on a timely basis
Process all authorised employee expense claims in a timely manner
Prepare weekly bank reconciliations for all bank accounts and submit these to the Management Accountant for review and approval..
Process all payments that are received ensuring they are reconciled to the correct accounts or cost centres.
Prepare the monthly VAT return, submit to HMRC once approved by the Management Accountant and register any new legal entities for VAT with HMRC as required.
Complete and submit Companies House statutory returns once they have been approved by the Management Accountant and register any new legal entities as required.
Prepare the CIS monthly return and submit following approval by the Management Accountant together with the required payments. Register new legal entities with CIS as required.
Reconcile petty cash on a monthly basis and prepare the reconciliation report ensuring that all expenditure is supported by valid receipts as necessary
Bank all cash and cheques received on a daily basis or as required and ensure that the filing is completed accurately and on a timely basis so other members of the team can easily access documents they need.
Assist the other secretarial team in answering phones, arranging meetings and running of the general office. .

The ideal Finance Team Assistant will have the following knowledge, skills and experience:

An experienced finance assistant who understands and is proficient at payment processing, reconciliation, using accounting systems including Sage and statutory reporting, preferably in a small finance team.

Experience of using Sage is essential for this position
Experience of working a busy client facing office environment in an executive or team support role.

Strong numeracy skills.
" Experience of proactively managing an executive to help them maximise the use of their time increase their productivity.
" Computer literate - Microsoft Office including Word, Excel and PowerPoint applications to a high standard.
" Experienced user of Outlook particularly the diary management functions.
" Excellent communication skills both verbal and written.
" Has strong administrative skills and able to multitask.
