Job Description

To provide financial and administrative support to 4 departments in the Thames Water Electrical Services Team to meet operational, regulatory and safety objectives. The nature of this support will include raising Purchase Orders (POs), a broad appreciation of the technical skills in the team and managing relationships with external entities (e.g. suppliers).

Also, the management of maintenance records, asset databases, performance reports, meeting records and other documents used by the team across over 5,000 sites.

What you’ll be doing as a Finance Administrator

Act as the first point of contact for enquiries from internal or external customers and business partners.
  • Resolve general information enquiries and, where appropriate, forward specialist requests.
    • Providing access to reports when requested, on behalf of the team
    • Accessing and sharing reports with internal/external customers
    • Manage a record which monitors the receipt of reports
    • Compress multiple reports into single files, ready for storage on SharePoint
    • Update/manage meta-tags in the SharePoint report library
    • Respond to requests for providing legacy reports located on CentreStage
    • Communicate with Contractors in pursuit of overdue reports
    • Manage the Electrical Services inbox
Collate data, carry out procedures and analyses of limited complexity and produce standard reports and for use by the team, area or department.
  • Provide management reports for weekly performance review
    • Produce Safety Performance Reports
    • Collate the Electrical Services Team's monthly performance report
    • Provide management reports for weekly performance review
Produce a record of meetings.
  • Attend and record discussions at Framework Contractor Performance Meetings, then circulate to relevant parties.
Maintain asset data using company-specific systems, ensuring records are accurate and up to date.
  • Support the implementation of the DSEAR asset management system.
    • Carry out the ongoing administration of AMS
    • Support the investigation and resolution of queries on the asset management system
Management of Company inspection records, including interface with Capital Delivery and DMC Project teams.
  • Installation certificates from new installations received and filed.
Training
  • Administering the Team Skills Register and extracting reports as required.
    • Support the administrative duties for delivering electrical training, briefing sessions and forums.
Procurement
  • Support with the raising of Shopping carts and SAP requisitions when required.
    • Investigate and resolve queries related to the procurement process.
 
Location: Hybrid/flexible working within the Thames Water Operating Area

Hours and Working Pattern: 36 hours a week, Monday to Friday, with the opportunity for flexible working.

Salary: £38,700 to £46,440 per annum – depending on skills and experience.
 
What you should bring to the role
To thrive in this role, the essential criteria you’ll need are:
  • Educated to GCSE level, including English and Maths or equivalent.
    • Significant experience working in a related role.
    • Ability to quickly learn and apply knowledge of the area to which the job applies.
    • Very good verbal and written communication skills, including a strong customer focus.
    • Reasonable numeracy and attention to detail.
    • Good organisational skills, personally very well organised.
    • Fully competent at using the appropriate Company IT systems, including SAP and Microsoft Office software.
Additional skills and experiences would be great to have/bring:
  • Preferably experience within a large utility industry
    • Ideally, a valid driving licence
    • Appreciation of water and wastewater treatment processes.
