Secretary/Administrator Assignment: Temporary, start as soon as possible and initially running until mid March Hourly rate: £10.23/per hour Hours: Full-time, around 36 hours per week Job Summary The post carries significant responsibility to enable the secretarial service and administration to run smoothly, effectively and successfully. The post holder must be able to work unsupervised on a daily basis, on their own initiative, with the ability to be able to prioritise their work load, and be able to multi-task, concentrate and continue with working practices despite regular interruption, apply judgement and common sense, and make executive decisions within their capabilities. Representing the organisation in a professional and pleasant manner at all times, the post-holder will ensure the smooth running of the associated activities using a number of secretarial and IT skills evidenced by professional qualifications, from previous experience and personal professional development courses. Main Duties Secretarial Administration: - Co-ordinates the smooth-running of the department, being first point of contact for phone calls and visitors, liaising effectively with members of staff, implementing central systems for recording staff holiday dates etc, taking responsibility for staff access arrangements, maintaining equipment, maintaining central filing systems, liaising between departments. - Undertakes word processing, audio-typing and dictation and where applicable composing letters on own initiative as appropriate. This requires an appreciation of the target audiences, tact and sensitivity due to the confidentiality of the subject matter. - Responsible for the organisation of diary appointments for the Senior members of staff, prioritising and allocating time for meetings and appointments, using own discretion and judgement, thinking ahead to anticipate problems and, as necessary, preparing various solutions for consideration. This requires a high level of understanding the complex diary commitments of the Senior members of staff and an ability to provide solutions that will fit with their range of activities. - Overseeing all posted correspondence to the Senior members of staff and where applicable, taking any appropriate action independently using own initiative, particularly in their absence. - Ensure highly professional levels of communication are maintained when dealing with internal/external visitors or contacts on behalf of the Senior members of staff. - Organises the registration, accommodation and flight bookings for relevant staff as required for conferences and meetings. This involves independently researching and producing travel options and itineraries in conjunction with existing commitments. Knowledge, Skills, Qualifications & Experience Required: Essential - Educated to GCE 'A' level or equivalent professional experience. - RSA level II Typing/Text Processing - Use of IT based administration systems including Word, Excel and Access and confident use of the internet and email systems - Proven experience in a secretarial or administration position - Excellent oral and written communication skills and ability to communicate with a wide range of people by telephone and in person. - Excellent interpersonal skills and ability to deal with confidential and sensitive information appropriately - Ability to use initiative and prioritise work tasks, whilst working under pressure - Good listening skills with ability to respond sensitively and with empathy - To be able to display diplomacy, flexibility and reliability - Previous experience of working within a Higher Education environment - Experience of using HE IT systems (Full job description available) If interested please click apply or email your updated CV to [1] and mention which role you are interested in.
