Working Hours: Monday - Friday, 9:00 AM - 6:00 PM (1 hour 15 minutes unpaid lunch break)

The Role:We are seeking a highly organised, efficient, and proactive Onboarding Administrator to join our dedicated team. This vital role will work closely with our Onboarding Specialists to ensure a smooth and seamless start for all new employees. The successful candidate will be responsible for a variety of administrative tasks, with a particular focus on shift allocation and the coordination of onboarding documentation.
Key Responsibilities:- Shift Allocation: Efficiently allocate shifts to new employees based on operational needs, availability, and training schedules.
- Onboarding Support: Provide comprehensive administrative support to the Onboarding Team, ensuring all new hires have a positive initial experience.
- Data Management: Maintain accurate and up-to-date records of new hires, including personal details, training progress, and shift patterns.
- Communication: Act as a key point of contact for new employees regarding their initial shifts, onboarding documentation, and general queries.
- System Utilisation: Proficiently use Microsoft Outlook for email communication, calendar management, and scheduling appointments. Utilise Microsoft Excel for data entry, tracking, and report generation related to onboarding and shift allocation.
General Administrative Duties:- Prepare and send onboarding documentation and registration packs to new candidates.
- Monitor the return of completed registration forms and ensure all necessary information is received.
- Verify and process candidate right-to-work documentation.
- Schedule and confirm onboarding appointments, training sessions, and induction programs.
- Maintain confidential employee records in compliance with data protection regulations (GDPR).
- Assist with the preparation of induction materials and welcome packs.
- Handle general office administration tasks as required to support the Onboarding Team.
- Escalate any issues or concerns regarding new hires or onboarding processes to the relevant Onboarding Specialist or Manager.
Skills and Experience:- Proven administrative experience: Previous experience in an administrative role, ideally within a fast-paced environment.
- Exceptional organisational skills: Ability to manage multiple tasks, prioritise effectively, and meet deadlines with a high degree of accuracy.
- Excellent communication skills: Both written and verbal, with the ability to interact professionally with new hires, colleagues, and external contacts.
Proficiency in Microsoft Office Suite:- Microsoft Outlook (Essential): Strong command of email, calendar, and task management features.
- Microsoft Excel (Essential): Advanced knowledge of spreadsheets for data entry, filtering, sorting, and basic formulas.
- Attention to detail: Meticulous approach to data entry and record-keeping.
- Problem-solving abilities: Capacity to identify and resolve issues efficiently.
- Proactive and adaptable: Ability to work independently and as part of a team in a dynamic environment.
- Discretion and confidentiality: Understanding of the importance of handling sensitive personal information.
