Job Description
Pertemps are recruiting for a Publications Administrator to work with a Public Sector organisation based in Edinburgh on a temporary assignment for 4/5 months. This is an administrative based role and applicants should have previous administrative experience and be able to communicate with staff at all levels.

Role: Publications Administrator
Hours: 37hrs per week
Pay: £11.09
Assignment: temporary role for 4/5 months

Responsibilities
Your main responsibilities will involve:
- Amending published date in line with new publication requirements and communicating that to effectively and clearly to Members, their staff and colleagues to ensure deadlines are met and there is a clear understanding on what will be published.
- Ensuring published data is clear and concise for the end user and that queries on data are dealt with in a timely fashion, with any updates to the data undertaken within agreed guidelines.
- Carrying out and taking ownership of the administrative processes associated with the publication of Members Expenses from end to end, within agreed deadlines
- Managing own and team members' inboxes, including responding to enquiries on publications, updating systems and data and escalating any contentious issues in accordance with the team's service level agreements
- Contribute constructively to the development of a new process for the publication of expenses, developing desk instructions that are tested and clear for users
- Providing support to team members in a proactive manner by devising efficient processes and/or using corporate systems effectively to ensure data and records are accurate and accessible in accordance with the frameworks

Experience Required
- Sound analytical skills and good judgement to inform decisions both about your own responsibilities and those of others
- The ability to approach problems you face in a politically sensitive way, always maintaining confidentiality and ensuring the security of data
- Excellent time management and organisational skills and ability to work under pressure and to tight deadlines to meet team's service level agreements
- The ability to explain or pass on complex or detailed information precisely and clearly to a diverse range of people, at different levels, demands and requirement.
- Excellent administration skills including data entry, Microsoft packages, diary management, use of excel
- Excellent communication skills.
