A fantastic opportunity is available for a Personal Assistant Role at a large utility company in Warwick, we are looking for employees to join our highly effective expanding team who show commitment and dedication to providing an excellent service to customers as well as being tenacious and methodical at all times.

Job Purpose

To provide effective and timely PA support to the management team, specifically 1-2 dedicated individuals. To ensure the efficient use of the team's time, and to assist the team in pursuing their business objectives through organising diary entries and managing communication channels.

Experience Required

Experienced PA working at a senior level, able to demonstrate high competence and integrity in interfacing with senior leadership both internally and externally. Experience of working in a large complex organisation is essential.
Excellent planning and organisation skills, demonstrates flexible and effective time management capability and is adept to working to tight deadlines. Key to this is gaining an understanding of the business context and understanding the priorities of the leadership team.
Demonstrates ability to manage correspondence effectively and in a timely manner. Key to this is managing email correspondence intelligently.
Excellent written and oral communication, with a strong attention to detail including numerical detail. Evidence of analytical ability and how this has been applied in previous PA roles.
Fully computer literate and highly competent with Word, Excel spreadsheets, Power Point, SharePoint and databases. Key to this role is the ability to support with high quality slide decks, for presentations at a senior level.

Key Tasks
Acting as a first point of contact dealing with correspondence and phone calls.
Organise and manage the diary, ensuring that all appropriate papers, documents and presentations etc. are made available within appropriate timescales for all meetings.
Undertake business travel and accommodation arrangements, with varying degrees of advanced notice.
Control and screen calls and visits, whilst ensuring access when required.
Undertake confidential typing of letters, memos, and minutes as appropriate along with typing, compiling and preparation of reports presentations and correspondence.
Receive incoming mail, identifying priority items, acknowledge correspondence, answer routine queries and re-route correspondence to appropriate section.
Reminding the manager/executive of important tasks and deadlines. Collating and filing expenses . Conducting research on behalf of the manager. Implementing and maintaining procedures/administrative systems.
