Service AdministratorLocation: South London / Kent
Salary: Up to £32,000 per annum, depending on experience
Hours: Monday to Friday, 8:00am–5:30pm, plus alternate Saturdays, 9:00am–1:00pm

Due to continued growth, we are looking for an experienced Service Administrator to join our busy Operations team.
About the RoleThe Operations team is at the heart of the business, coordinating a high volume of plumbing and heating jobs from initial booking through to completion.
As a Service Administrator, you will play an important role in ensuring our engineers' workloads are efficiently managed and our customers receive a consistently high level of service.
Your day-to-day responsibilities will include scheduling engineers, dealing with customer enquiries, preparing and following up quotations, ordering parts and materials, maintaining accurate records and ensuring outstanding jobs are progressed.
This is a busy and varied role where priorities can change throughout the day. The successful candidate will need to be highly organised, proactive and comfortable managing multiple tasks while maintaining a high level of accuracy.
You will work closely with customers, engineers, suppliers and colleagues across the business, helping to ensure jobs run smoothly and efficiently.
Key Responsibilities
  • Scheduling jobs and coordinating engineers' daily workloads.
    • Managing customer enquiries by telephone and email.
    • Booking, rearranging and confirming customer appointments.
    • Preparing, sending and following up customer quotations.
    • Responding to online leads and new enquiries.
    • Ordering parts and materials and liaising with suppliers.
    • Monitoring outstanding jobs and ensuring appropriate follow-up.
    • Maintaining accurate customer and job records.
    • Liaising with engineers to ensure they have the information and materials required to complete their work.
    • Managing competing priorities and responding effectively to urgent requirements.
    • Ensuring jobs are progressed efficiently from booking through to completion.
    • Providing general administrative support to the Operations team.
    • Maintaining a professional and customer-focused approach at all times.
Skills & ExperienceEssential
  • Previous experience in an office, administration, coordination or customer service role.
    • Excellent organisational and time-management skills.
    • Strong attention to detail and accuracy.
    • Excellent verbal and written communication skills.
    • A professional and confident telephone manner.
    • Good computer literacy and the ability to learn new systems quickly.
    • Ability to manage multiple tasks and changing priorities.
    • A proactive approach, with the ability to work independently and take ownership of responsibilities.
    • Reliable, dependable and committed to maintaining a high standard of work.
Desirable
  • Experience within plumbing, heating, construction, maintenance or another service-based industry.
    • Experience coordinating engineers, technicians or field-based staff.
    • Experience preparing customer quotations.
    • Experience ordering parts or materials.
    • Experience using scheduling, CRM or job-management software.
